# ✅ How to Submit or Update Your Residence Card and Passport Information

## Use SpeedVisa to give your school your residence card and passport information — whether you are registering it for the first time or updating it after a change. This guide shows you where to enter it and how to submit it to your school.

### **📌 Is this the right page?**

Your school may ask you for your residence card and passport in two different places in SpeedVisa. They are not the same.

| Register or update the **information** from your residence card and passport (card number, expiry date, status of residence, address) — including the first time you register it | **This page.** Open “Update Residence Card Info” from the Dashboard and follow the steps below. |

If you are not sure which one your school means, ask your school which screen they want you to use.

- register their residence card or passport information in SpeedVisa for the first time, or
- update it after their residence card or passport changed.

### **📝 Step-by-step Instructions**

#### **1. Open the residence card and passport screen**

On the Dashboard, tap **“Update Residence Card Info”** (Residence Card and Passport Information).

You can also reach the same screen from the settings icon at the top right of any page: **Personal Settings → “Passport & Residence Card Info”**.

#### **2. Answer the two questions**

The screen has two sections, **Passport** and **Residence card**. Each one starts with a question:

- Do you have a passport?
- Do you have a residence card?

Select **“Yes”** for each one you have. The input fields appear only after you select “Yes”. If you do not have a residence card yet — for example, you are still outside Japan — leave “Do you have a residence card?” set to “No”.

#### **3. Enter your passport information**

- **Passport image (ID page)** — upload the personal information page, in JPEG, PNG or GIF format.
- **Passport Number**
- **Passport expiration date**

#### **4. Enter your residence card information**

- **Residence card image (front)** and **Residence card image (back)** — both images are required, in JPEG, PNG or GIF format.
- **Residence Card Number**
- **Date of Expiration**
- **Period of Stay** (optional)
- **Residence Status**

#### **5. Answer the part-time work question and enter your address**

- **Do you have permission for part-time work?** — Yes / No / Not set yet.
- **Address on Residence Card** — Address on Residence Card — enter the address printed on your residence card, split into Postal Code, Prefecture, City/Town, Street Address and Building name. Select **Prefecture** first. Then select your city, ward, town or village from the **City/Town** list. Building name is optional.

💡 Enter the postal code **with a hyphen**, in the format 111-1111. Without the hyphen you will see “Enter in postal code format (111-1111).”

💡 If you have moved, first complete the change-of-address procedure at your city/ward office and have your new address written on the back of your residence card. Then enter that new address here.

#### **6. Submit the change request**

Tap **“Submit change request”** at the bottom of the screen.

Your information is then sent to your school for review. While your school is reviewing it:

- a message appears at the top of the screen: “Change request is in progress. You can edit after the school staff has reviewed it.”
- all the fields become read-only, and
- the button at the bottom turns red and reads “Cancel change request”.

#### **7. Receive a notification email**

Once your school has reviewed and approved your change request, you will receive an email with the subject “Your Residence Information Update Request Has Been Approved” from SpeedVisa Support Team (wecare@s.s-visa.com).

##### **Tips**

- Make sure the **Address on Residence Card** fields match your card.
- On this screen, only **JPEG, PNG and GIF** files are accepted. The document folders in a residence application accept more formats, including PDF.
- If you are not sure which fields to update, contact your school.
- The **City/Town** list is shown in Japanese, in the same way as your residence card (for example, 台東区). Choose the one that matches your card.

#### **FAQs**

**Q. My school told me to upload my residence card and passport to SpeedVisa. Where do I upload them?**

→ A. There are two places in SpeedVisa, and they are used for different things. If your school wants the **information** from your card and passport — card number, expiry date, status of residence, address — use this screen: Dashboard → “Update Residence Card Info”. If your school wants a **document file** for your residence application, upload it to the document folder inside the application. If your school did not say which one, ask them.

**Q. I cannot submit. Some fields turned red.**

→ A. Once you select “Yes”, every field is required except Period of Stay and Building name. Missing fields are outlined in red with “This field is required.” below them. Note that the residence card needs **both** the front and the back image. Fill in the missing fields and submit again.

**Q. I am currently living outside of Japan, so I don’t have a Japanese address. Can I enter my home country’s address instead?**

→ A. No. These fields are for the address printed on your Residence Card, so only an address in Japan can be entered. If you are living outside Japan and do not have a Residence Card yet, select “No” for “Do you have a residence card?” and leave this section empty.

**Q. I made a mistake after submitting. Can I fix it?**

→ A. While “Change request is in progress” is shown, the fields are read-only. Tap **“Cancel change request”** to withdraw your request — your information goes back to the way it was before you submitted — then correct it and submit again. You can also wait until your school has reviewed it and submit a new change request afterwards.
